Our IT department needs to archive multiple employee mailboxes before deactivating their Google Workspace accounts. Exporting each mailbox through Outlook with IMAP takes time, especially when messages and attachments need to synchronize before the export can begin.

We need a method to export Google Workspace email to PST without repeating the same steps for every user. Google Vault can help with authorized eDiscovery exports, while Google’s Data Export utility creates MBOX files that require an additional conversion step.

While researching bulk archiving options, I found the SysInfo Google Workspace Backup Tool. Its listed features include CSV-based batch processing, administrator authentication, direct PST export, date filters, and duplicate removal. It also supports exporting contacts and calendars separately, which can be useful when preserving employee records.

Before choosing a method, I would check whether the required folders, attachments, and messages are available in the resulting archives. Reviewing reports and testing a few mailboxes can help identify missing items before accounts are disabled.

For organizations that need to export G Suite to PST, which approach works best for multiple users? Have you used Outlook, Google Vault, or dedicated software to simplify employee offboarding? I would appreciate practical suggestions for reducing manual work while keeping archived data accessible.
