Our company is finally moving completely to Microsoft 365 after years of running Outlook with local PST archives. During the assessment phase, we discovered more than 600 PST files spread across employee systems, shared drives, and archived backups. While Microsoft's native import process is well documented, it becomes increasingly difficult to manage when multiple administrators are involved and every department has different migration priorities.

The biggest concern from management isn't the migration speed—it's protecting historical business data. Finance, HR, Legal, and Customer Support all rely on archived emails that may need to be referenced years later. Losing folder hierarchy, attachments, timestamps, or metadata simply isn't acceptable.

As part of our testing, we evaluated the DRS Softech PST Converter Tool because it offers features such as batch processing, preview before migration, advanced filtering, duplicate removal, and support for multiple Outlook versions. Having the ability to verify mailbox contents before beginning the migration has been especially useful during pilot testing.

Our current migration strategy focuses on validating mailbox counts, comparing folder structures, and creating backups before proceeding with production users. Once verification is complete, the next objective is to Import PST File to Office 365 while keeping user downtime as low as possible. We're planning department-wise migrations over several weekends instead of attempting a single large migration.

Another challenge involves very large PST files created over many years. We're testing whether splitting archives improves performance or whether direct migration provides better results for enterprise deployments.

After successful validation, the final production rollout will upload PST to Office 365 for hundreds of employees across multiple business locations. I'd be interested in hearing from enterprise administrators who have completed similar projects. What migration strategy helped reduce risk while maintaining complete mailbox integrity?
